VAT-tastic

In this update we release a number of improvements to our VAT handling, including support for VAT handling of EU sales, and announce online filing with HMRC.

All new VAT returns

You'll first notice your VAT returns now have a completely new design. It'll look more familiar to those of you who've filled in one of the old paper forms.

VAT Return

As mentioned previously, changing the status of a VAT return automatically changes any older ones, so if you mark a return as 'filed', all earlier ones will also be marked as filed too.

Buying and selling within the EU

Lots of our customers buy and sell goods and services to countries in the wider EU and FreeAgent is now able to give you more help to record these transactions on your VAT return.

Online VAT filing

The big announcement is that FreeAgent now supports online filing of VAT returns to HMRC!

VAT Return

Before you rush off, be aware that we are rolling this feature out gradually to make sure there are no bugs, but all being well this will be available to everybody soon. When that happens, we'll publish full details about how it all works.

It's not just VAT though

Actually, it mostly is, but we also:

  • Added support for next year's 20% VAT rate
  • Added support for next year's Flat Rate Scheme rates
  • Allow you to add default Additional Text to recurring invoices, just like normal ones.
  • We've added support for the Vietnamese Dong, Latvian Lats and Egyptian Pound!

That's nice! But what I really need is the possibility to calculate VAT based on when I actually received the money, not when I invoiced it. For me as a German user the current VAT tools are basically useless. And it shouldn't be that hard to add, I'd imagine :)

I work with clients in two separate EU countries and this is great. Travel expenses is a nice touch. Keep it coming.

Excellent - and look! the VAT return has curly edges like a piece of paper! Bless. You have WAY too much time on your hands Roan!

Last few releases haven't really floated my boat, as I don't do multi-currency and don't care about Google apps, but this is good stuff.

Sadly, I've got ages before my next VAT return is due - I want to play NOW!

Nice work chaps - but (there's always a but) can you clarify the point at which Freeagent stops and manual intervention starts when it comes to the Reverse Charge scheme? Can we use the online filing tool or do we have to manually tweak the relevant boxes prior to submitting? That's the last spreadsheet in my process and it would be great to see it gone.

@Johannes - possibly I'm missing something, but there is the option to change from "invoice basis" to "cash basis" under "Edit details" on the VAT return.

How does the system handle it if there is a change in VAT basis (eg from Flat to Standard, or Cash to Accrual) in a single VAT period?

@Nick: FreeAgent doesn't automatically work out the Reverse Charge, you would need to post journal entries in order to post these figures to box 1 and box 4.

Would anyone like a knowledge base article to explain how to do this?

@Chris: That wouldn't work for @Johannes because he has a Universal account. On Universal accounts the sales tax is always worked out on an invoice basis.

@Steve: FreeAgent couldn't handle this because in my experience it's far more usual (and far easier) to change at the end of a VAT accounting period. Here's what HM Revenue say: http://www.hmrc.gov.uk/vat/start/schemes/flat-rate.htm#10
