Contact Statement of Account

Here's how to generate and print a statement for a contact, customer or supplier, in FreeAgent.

1. Find the contact

From the Contacts page, click that contact's name.

Click the Statement of Account tab.

2. Enter the dates

Put in the dates between which you want to show information on the statement.  This might, for example, be for a calendar month.  FreeAgent will put in an opening balance if there were any invoices or bills outstanding for that contact dating from before the first date you put here.

Once you've entered the dates, click Show Statement.  You'd also use the Show Statement button to refresh the page if you put in some different dates.

3. The statement

FreeAgent generates the statement, which will look something like this.

What shows on the statement?

All the transactions for this contact between the dates you set, including invoices, credit notes, bills, bill credit notes, and payments and refunds relating to these.

What does not show on the statement?

Estimates do not show on contact statements, because your contacts do not pay you for estimates, only for invoices.  An estimate is not a transaction.

What if I have issued invoices in foreign currencies?

If you have issued invoices to this contact in a foreign currency, FreeAgent will divide up the transactions into the currencies and show the transactions in each currency separately, like this.

How do I send the statement to my contact?

You can save it as a .pdf for printing or sending by e-mail, by clicking the Save as PDF button.  Alternatively, you can click Send by Email to send this statement to your client directly from within FreeAgent.
