Adding existing FreeAgent users to your practice dashboard

If you start working with a client who is already using FreeAgent - either as a direct FreeAgent subscriber or as a client of another accountancy practice - you will need to add their account to your practice dashboard. Here are some guidelines to help you do that.

Clients who are currently direct FreeAgent subscribers

You can work with a client who is currently a direct FreeAgent subscriber by either linking their account to your practice dashboard or fully transferring their license to your practice.

If you link a client’s account to your practice dashboard, you will gain access to the client’s account but the client will continue to be able to control the level of access they have to FreeAgent.

If you transfer the client’s account, you will gain access to their account and you will be able to control the level of access that the client has to FreeAgent.

In both scenarios the client will remain the owner of the account and will ultimately retain ownership of their data in FreeAgent.

You and your client should discuss which option is most appropriate before you get in touch with FreeAgent to request either the link to your dashboard or a full license transfer.

How to link a FreeAgent subscriber’s account to your practice dashboard

To link a client’s account to your practice dashboard, you should email practicesupport@freeagent.com and copy in the client. The email must be sent from the email address of a registered account manager of your practice’s FreeAgent account. The email address you use for the client must be the account owner’s registered email address in FreeAgent.

In your email please make it clear that you wish to link the client’s account to your practice dashboard, and include the client’s FreeAgent URL (i.e. the web address they use to access their FreeAgent account) in your message. Your client should then select ‘reply all’ and write a return email to confirm that they are happy for their account to be linked to your practice dashboard.

Once the emails from your practice and your client have been received, FreeAgent’s practice support team will email you and the client to confirm that the link has been created. You will then be able to see your client’s FreeAgent account on your practice dashboard and access their accounts.

How to transfer a FreeAgent subscriber’s license to your practice

To transfer a client’s FreeAgent license to your practice, you should email practicesupport@freeagent.com and copy in the client. The email must be sent from the email address of a registered account manager of your practice’s FreeAgent account. The email address you use for the client must be the account owner’s registered email address in FreeAgent.

In your email please make it clear that you wish to transfer the client’s license to your practice, and include the client’s FreeAgent URL (i.e. the web address they use to access their FreeAgent account) in your message. Your client should then select ‘reply all’ and write a return email to confirm that they are happy for their FreeAgent license to be transferred to your practice.

Once the emails from your practice and the client have been received, FreeAgent’s practice support team will email you and the client to confirm that the transfer has taken place. You will then be able to see your client’s FreeAgent account on your practice dashboard, access their accounts and control the level of access the client has to FreeAgent.

Clients who are currently using FreeAgent through another accountancy practice

If your client has been using FreeAgent through another accountancy practice and wishes to transfer their licence to your practice, FreeAgent requires email confirmation from all three parties (i.e. your practice, the client and the other accountancy practice) to perform the transfer.

Ideally, all parties will be copied into a single email chain, but separate confirmation emails from each party can also be accepted. Confirmation of the client’s FreeAgent URL (i.e. the web address they use to access their FreeAgent account) in these emails would be extremely helpful. If your client feels uncomfortable copying their former accountant into an email chain, FreeAgent’s practice support team can contact the outgoing accountant separately.

All emails should be sent to practicesupport@freeagent.com. The client’s email should be sent from the FreeAgent account owner’s registered email address. The emails from your practice and the other accountancy practice should each be sent from the address of a registered FreeAgent practice account manager.

Once all three emails have been received, FreeAgent’s practice support team will email all parties to confirm that the transfer has taken place. You will then be able to see your client’s FreeAgent account on your practice dashboard, access their accounts and control the level of access that the client has to FreeAgent. The previous accountant will no longer have access to the client’s FreeAgent’s account.
