When it’s time to do the books, a single click sends the expense report into FreeAgent. Every entry arrives with its receipt image attached, categories already mapped to FreeAgent categories and VAT handled with a safe fallback when a rate doesn’t apply cleanly.

Corrections are safe as re-pushing an amended report never duplicates what FreeAgent already has, and individual expenses can be omitted from the sync while staying in your records.

How ExpenseBot works with FreeAgent

Connect ExpenseBot to FreeAgent from inside ExpenseBot and we never see your FreeAgent password.

Expense reports are pushed to FreeAgent as out-of-pocket expenses. One entry per expense is created, with the receipt image included as an attachment, your FreeAgent category applied and VAT rate set. 

Vendor invoice reports are pushed into FreeAgent as bills instead, grouped per contact with due dates taken from the vendor invoice.

ExpenseBot records what has already been sent, so pushing a corrected report only sends what’s new, and a report that was already fully pushed asks for confirmation before anything is sent again.

How do I get started with ExpenseBot?

You can connect ExpenseBot with FreeAgent by following these steps:

1. Sign up at expensebot.ai (opens in new window) with a Google account (60-day free trial, no card needed).
2. Add receipts by photo, forwarded in an email or connect Gmail for automatic scanning.
3. Open ‘My Reports’, create an expense report and click ‘Share to FreeAgent’.
4. Authorise FreeAgent when prompted.
5. The report lands in FreeAgent with receipts attached - repeat each month in one click.
