How to switch to FreeAgent
It’s straightforward to switch from software (or spreadsheets) to FreeAgent. Just sign up for a FreeAgent trial (or claim your free† account with a NatWest, Royal Bank of Scotland, Ulster Bank or Mettle business account) and follow these steps to get started.

Enter your accounting dates and VAT details
Start with confidence and set up the basics correctly in your account. As part of setup, you’ll need to set your accounting dates, and your VAT registration details (if applicable).

Connect your business bank account
Link your business bank accounts with FreeAgent to securely import up to two years of bank transactions automatically.

Import your contact details
Move all the details of your customers and suppliers into FreeAgent with the click of a button. This means you’ll be ready to assign individual monies owed by, or to, the relevant contact in the next step.

Add your opening balances
If you’re moving from other software, all this information will be in your trial balance report. If you’re moving from spreadsheets, you may want to get advice from an accountant.

How long does it take to switch to FreeAgent?
While the time it takes you to switch can vary according to the complexity of your accounts, the majority of customers find it straightforward to get set up on FreeAgent.
Can I bring my existing accounting data into FreeAgent?
You can import the previous two years’ worth of bank transactions by connecting your bank account to FreeAgent.
Whilst not essential, you can also enter the following data into FreeAgent if you need to:
- historical sales invoices or bills (supplier invoices) using a third-party integration such as AutoEntry, Dext, Fabio or Zapier
- historical expenses or mileage claims in bulk by using a template
- projects from .CSV file or Basecamp
- bank transactions that are more than two years old, from a bank statement or manually

Do I need to move all my old data?
You do not need to move all your old data. You will need to import your opening balances, details of active customers and suppliers, and transactions for the current accounting year. We would suggest you archive your older data outside FreeAgent and keep it safely.
How secure will my data be in FreeAgent?
FreeAgent is committed to protecting your personal and financial data using multiple layers of security. Your information is held securely in AWS data centres that meet the strictest security standards and comply with GDPR legislation.
We protect your data with the same high standards used by banks, ensuring it is unreadable to anyone else, whether it is being stored or sent. We also constantly monitor our software to immediately spot - and block - any security threats.
Do I need an accountant to switch to FreeAgent?
It is not essential to have an accountant to move to FreeAgent. However, you may find it helpful to work with an accountant. They can help you prepare your trial balance report ahead of your switch date, and check your figures once you’ve made the move. If you don’t have an accountant, you may wish to find one through FreeAgent CoPilot.
What if I find a mistake after setup? Can I alter my data?
You must select the correct business type (Limited Company, LLP, Partnership, Sole Trader or Unincorporated Landlord) during setup. This is the only information that can’t be changed later. However, if you or your accountant find a mistake in your accounting dates or opening balances, you can correct these. Just ensure you make any corrections before you make any submissions to HMRC from FreeAgent.
